Our client is a construction machinery distributor based in the Middle East, serving a broad network of equipment rental companies and contractors across the region. Their daily operations involve sourcing a wide range of fastening components — not only for machine assembly and maintenance but also for site anchoring applications that require high reliability under harsh desert conditions.

Prior to engaging with us, the client sourced U-bolts, expansion anchors, and matching washers from multiple separate suppliers. This fragmented procurement model created several inefficiencies: repeated qualification reviews, inconsistent quality documentation across vendors, and significant time spent on order coordination and shipment tracking. In addition, each supplier had different minimum order quantity requirements, forcing the client to hold excess inventory of certain items while running short of others.

Export packaging and customs clearance added another layer of complexity. The client needed all shipments in wooden crates complying with ISPM 15 phytosanitary standards, along with complete customs documentation including certificates of origin and detailed packing lists — requirements that several of their existing suppliers could not consistently fulfill.

The client's core challenges could be summarized in four points:

  • Procurement inefficiency — Managing three separate supplier relationships for essentially one application consumed disproportionate administrative resources. Purchase orders, invoices, and delivery schedules had to be reconciled across different timelines and communication channels.
  • Inconsistent quality documentation — Each supplier issued their own test reports and certificates, with varying levels of detail and formatting. This created friction when the client's quality team needed to present unified documentation to their own customers.
  • Packaging and export compliance — Several suppliers lacked experience with export-ready wooden crate packaging and proper fumigation marking. In previous shipments, customs delays occurred due to incomplete paperwork or non-compliant packaging.
  • Mix-and-match ordering inflexibility — The client frequently needed small quantities of one item combined with larger runs of another, depending on project cycles. Most suppliers enforced rigid MOQ policies that did not allow this flexibility.  

We proposed a consolidated supply package that addressed each of the client's pain points directly.

Product scope:

Under a single purchase order, we supplied carbon steel and stainless steel U-bolts in multiple diameters and lengths, expansion anchors for concrete and masonry applications, and flat and spring washers in matching specifications. All products were manufactured according to the client's drawings and dimensional requirements, with thread tolerances meeting ISO 965-1 standards. Where standard sizes were not available in our catalogue, we produced custom parts to fill the gaps.

Packaging and logistics:

All items were consolidated into export-grade wooden crates with internal compartmentalization to prevent in-transit damage. Each crate carried ISPM 15 heat-treatment markings and a detailed content label. We prepared a consolidated packing list covering the entire shipment, plus certificates of origin issued by the local chamber of commerce — all documentation aligned with the destination country's customs requirements.

Quality documentation:

We provided material certificates (EN 10204 3.1) for each batch, dimensional inspection reports, and salt-spray test results verifying corrosion resistance suitable for Middle Eastern coastal and inland environments. All documents were formatted in a consistent template for easy integration into the client's quality management system.

Order flexibility:

The client's first order combined small-batch U-bolts (custom sizes) with larger quantities of standard expansion anchors and washers. We accepted this mixed configuration without enforcing separate MOQs for each product line, and we consolidated everything into one shipment with a single set of export documents.

The consolidated supply package reduced the client's supplier management workload from three vendors to one. The client reported significant time savings in purchase order processing, quality document review, and shipment follow-up during the first three months of cooperation.

The unified documentation package — with consistent formatting and complete test records — simplified the client's own reporting to their end customers. Customs clearance for the first shipment proceeded without delays, confirming that our export packaging and paperwork met local requirements.

Since the initial order, the client has placed follow-up orders on a regular basis, extending the cooperation to additional product categories including flange bolts and threaded studs. The mixed-batch ordering model has become the standard arrangement, and the client has cited the predictability of documentation quality and delivery schedules as the primary reasons for continuing the partnership.
